This policy covers our corporate website and enquiries. Separate privacy information applies to our consumer shop, app and testing services.

Information we collect

When you contact us, we collect your name, email address, organisation if provided, and the contents of your message and subsequent correspondence.

Our website hosting provider, Squarespace, also processes technical information associated with website visits, which may include IP addresses, browser and device information, and pages requested.

Please do not submit patient-identifiable information, medical records or genetic test results through our enquiry forms.

How we use your information

We use personal information to:

  • Respond to enquiries and manage related correspondence.

  • Discuss potential partnerships, research collaborations and our products or services.

  • Operate, maintain and protect our website.

  • Meet applicable legal obligations.

We rely on our legitimate interests in responding to people who contact us, managing business relationships and operating a secure website. Where applicable, we also process information to take steps at your request before entering into a contract, or to comply with a legal obligation.

Providing information is voluntary, but we need the required contact details and message to respond to a form enquiry.

We do not add you to a marketing mailing list simply because you contact us.

Who receives your information

Information is accessible to authorised Genefluence personnel and service providers supporting our website, email and IT systems.

Contact form submissions are stored within Squarespace, and email notifications are sent to our designated Genefluence mailbox. We use Microsoft 365 for email services.

We also use Google reCAPTCHA to protect our contact form from spam and automated abuse. This service processes technical information, such as your IP address and browser or device information. Further details are available in Google’s Privacy Policy.

We may also disclose information to professional advisers or authorities where necessary to meet legal obligations or establish, exercise or defend legal claims.

We do not sell your personal information.

International processing

Our service providers may process personal information outside the United Kingdom, including in the United States.

Where required, transfers are protected by recognised adequacy arrangements or appropriate contractual safeguards, such as the UK International Data Transfer Addendum to the European Commission’s Standard Contractual Clauses.

You can contact us for further information about the safeguards relevant to your information.

How long we keep information

We retain enquiry information for as long as needed to respond and manage any resulting relationship. In deciding the retention period, we consider the nature of the enquiry, ongoing correspondence, legal requirements and any need to resolve disputes.

We delete or anonymise information when it is no longer needed for those purposes.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase your personal information, restrict its use, or receive it in a portable format.

You also have the right to object to processing based on our legitimate interests.

Where processing relies on consent, you may withdraw that consent at any time without affecting the lawfulness of earlier processing.

To exercise your rights, contact hello@genefluence.com.

You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

We do not use information submitted through this website to make solely automated decisions that have legal or similarly significant effects.

Cookies

We have restricted Squarespace’s non-essential analytics and performance cookies and switched off its visitor Activity Log.

Please see our Cookie Policy for information about cookies and similar technologies used on this website, including Google reCAPTCHA.

Changes to this policy

We may update this policy as our website or practices change. The date above shows when it was last updated.
